08/30/2011

  • Revised the Indemnity types DA, PT and PPD in the state of West Virginia so that they pay in monthly lump sums instead of by a weekly rate. Deductions setup for these indemnity types need to be entered as the monthly lump sum to be deducted from the claimant's check instead of the normal weekly rate.  Payment of these benefits in the state of West Virginia are no longer rate or time based and will allow the user to pay any lump sum for any time period.

  • Updated CPT fee schedules for Ohio to include the new Vocational Rehab schedule changes as of 8/1/2011
  • Added new Manual / Job Code tables for EDI for the states of West Virginia and Kentucky.  These tables are accessible using F4 in the job code or manual number field in Edit --> Claim Data.
  • Added a check to the EDI FROI and SROI audits to verify the manual # or Job Code is valid for the jurisdiction.
  • Updated all 1099 forms for the year 2011.
  • The phrase “Please acknowledge receipt of this notification and the claim number assigned.” has been added to the excess loss letter in the claim area.

  • Added "Preferred Language" to the employee record in HRMS.   This is designed to alert to claim manager that the employee may not speak English and a language specialist should be employed when corresponding with the employee.  If the information is added to the HRMS record, a flag will be shown in each of the employee's claims and on their HR screen.
  • Added a default Expense reserve value in Risk Information --> Company setup.  This reserve is added to each new claim, along with the default Medical reserve, for all claims that are added using the "Reserve for Medical Only" check box on the claim add screen.  If the value in company setup is left at the default value of 0 no reserve will be made.  If the "Reserve for Medical Only" option is used the claim is added to the system as a "MO - Medical Only" claim.
  • Added the "Reserve for Medical Only" check box to the "Add a Claim from the Web" screen.  Using the check box on this screen when adding a claim will cause the default Medical and Expense reserves to be added to the claim that are setup in Risk Information --> Company Setup.  I this option is used the claim will be added to the system as a "MO - Medical Only" claim, otherwise the claim will be added to the system as a Closed, "IO - Incident Only" claim.

  • SI-40 Summary report has changed how Compensate determines the number of open claims. Prior to 2/2/2011 the SI-40 Summary would report the number of claims that were open as of the end of the period. These claims did not have to have a reserve to be included in the claim counts they just had to have an open status in the system. After 2/2/2011 the claim count numbers have been revised to include only the number of claims that actually contributed to the "Total outstanding case reserves" values asked for on the SI-40. 
  • Updated titles on the SI-40 summary to clarify the values for "Indemnity Reserves" is really the "Total outstanding case reserves for Indemnity claims". This value includes the sum of the outstanding reserves for medical, expense and indemnity for the claims that were paid any type of indemnity.
  • Added the CMS reporting period to the "Change Company Screen" as a quick reference.  If you click on the top of the "RPT" column it will place the policies in order of reporting period and only show claims with a CMS reporting period.  If you want the entire list of policies back on the list click on the top of the column named "Company" and all policies will be visible.
  • Living Maintenance (LM) is now able to be included in Auto-Pay transactions.
  • New - eDocs is now available in the unemployment module. Users can attach documents / scans to the unemployment claim, as attachments for case notes and to employee records.

  • You can now change the subject line of a eDoc attached to a claim notes by right clicking on the attachment list and you will receive a prompt for the new subject.

12/27/2010

  • Updated the SI-40 programming for Ohio to include the new claim count and reserve values that are required for the 2010 report.
    • Note - Claims that have been paid or are reserved for indemnity are included in the totals for "Total outstanding case reserves or Indemnity claims" and the associated claim count.  This has nothing to do with the claim status flags ("MO", "LT", etc...) and is solely based on values in the claim as of the end of the reporting period. All other claims are included in the values for "Medical-Only" claims.
  • Added additional CMS tools to the Master program to 
    • Generate / Send all Query files for all RRE companies
    • Sent all pending Claim report files
    • Export all eligible claims from all companies to allow for a quick view of the status of all claims in the entire system. 

11/1/2010

  • Added the latest Professional Provider Medical Services Fee Schedule for Ohio.  With this latest fee schedule the BWC is including values on some procedures that are "Not Regularly Covered (NRC)", "Not Covered (NC)" and "By Report (BR)".  A copy of the latest fee schedules for Ohio can always be found at http://www.ohiobwc.com/provider/services/FeeSchedules.asp

10/18/2010

  • Added the ability to delete a transaction that is in the "Pending Transactions" screen for imported PPO Transactions.  Transactions deleted on on this screen will not be created into actual payments for claims.  Transaction deleted using this screen CAN NOT BE RECOVERED, so please be careful and delete only transactions you really want to delete.

  • New Report - Claim Code Drill-Down (on the Reports --> Injuries menu) - This report is a drill down report that groups claims by various claim codes (Cause, Body Part, Injury, Claim Type, etc...) and then by injury year to show which code has been the most expensive and in which injury year the money was spent.  This claim will show paid and reserve values as of the date the user selects for the report. This report is also to filter for the same criteria that is available for the loss run reports. (Open Claims Only, Location, Department, Work Center, Claim Type, Over a Value, etc...).  This report is only available to clients that are running SQL Server 2008 Reporting Services. If you need to e-mail this report export it to either .PDF or Excel and use the e-mail options in Excel or Adobe Acrobat. This is the same report that is available on the web for clients using the Claim Reporting Portal.  When exported to Excel this report's groupings can be expanded to view the claims in the different injury years.
  • New Reports - The following reports have been added to the Reports --> Management Reports Menu under "Claim Statistics". All of the "by Year" reports work best if you select a reporting year at least 6 years ago so the report will be able to show a trend.  These reports are only available to clients that are running SQL Server 2008 Reporting Services. If you need to e-mail these reports export them to either .PDF or Excel and use the e-mail options in Excel or Adobe Acrobat.
    • Incident vs Injury - Report for all incident only claims (IO) v.s. all other claim types for a series of years starting with the year selected in the report control.
    • Incident vs Injury by Month - Report for all incident only claims (IO) v.s. all other claim types for the calendar year selected in the report control.
    • Medical Only / Lost Time by Year - Report for all Medical Only Claims (MO) v.s. Lost Time claims (LT) for a series of years starting with the year selected in the report control.
    • Medical Only / Lost Time by Month - Report for all Medical Only Claims (MO) v.s. Lost Time Claims (LT) for the calendar year selected in the report control.
    • Claim Costs by Year - This report shows the sum for all Medical, Expense, and Indemnity paid to date values for claims with a date of injury in the calendar year shown on the report starting with the year selected in the report control.
    • Claim Costs by Month - This report shows the sum for all Medical, Expense, and Indemnity paid to date values for claims with a date of injury in the calendar year selected in the report control.
    • Cash Flow by Year - This report shows the sum for all Medical, Expense, and Indemnity transactions for the calendar year selected in the report control.
    • Cash Flow by Month - This report shows the sum for all Medical, Expense, and Indemnity transactions for the calendar year selected in the report control.
    • # Checks by Year - This report shows the number of Medical, Expense, and Indemnity transactions processed for the calendar year selected in the report control.
    • # Checks by Month - This report shows the number of Medical, Expense, and Indemnity transactions processed for the calendar year selected in the report control.
  • Updated the charts on the Descending Dollars report for better readability. 
  • Moved all of the Company Specific Menu options from the Maintenance menu to the Main Menu --> Risk Information menu so all items required to setup a policy or risk can be found in one place.

  • PPO module has been updated to automatically download and eDoc the EOR .pdf files from the various PPO companies if they are supplied.  The EOR eDoc files are attached to the medical / expense transactions in the claim file under payment history.

9/10/2010

  • The plain paper 1099 forms and electronic file formats have been updated for 2010. 
  • A new field, "# is SSN" has been added to the provider table for 1099 reporting.  IRS in 2011 will require all TIN numbers to be identified as either a Corporate TIN or a SSN when being reported for 1099 purposes.  Checking the box on the provider screen "# is SSN" will send the correct in the electronic file to the IRS and will mask the SSN on the 1099 form for security / privacy purposes.
  • Positive pay file formats have been added for : 5th 3rd Bank, First Midwest Bank, Single Point - US Bank and Bank of America
  • CTRL-G (global claim lookup) has been updated to work with the Unemployment module.  When in the Unemployment program CTRL-G will find all claims across all companies that fit the search criteria being entered. 
  • Both MCMC http://www.mcmcllc.com/ and PremierComp Solitions http://www.premier-comp.com/ have successfully completed testing for the PPO file import and export. 
  • eDocs has been updated to allow for storage of files on a remote FTP site. If a client company would like to have their documents stored on their server Compensate can now transfer the file each time a file is added to eDocs.  eForms is not available in this configuration due to file synchronization issues.

  • Updated the search feature in lists. 
    • The new search (CTRL-F) in lists now limits the list to entries that contain the value entered in the search box. The old search would position the list at the record that began with the value entered in the search box. 
    • After searching for a value you can restore the entire list by emptying the search box on the lower right of the search screen or use CTRL-F and leave the box empty and hit return. The entire list will be visible again. 
    • Users can change the column that is being searched on by clicking the top of the column (column name) and then using the search control or using CTRL-F 
    • After a search is complete the order of the remaining entries on the list can be sorted by clicking on the top of the column of the desired search order.

  • Added support for CPT Modifiers LT, RT, E1, E2, E3, E4, FA, F1 thru F9, LC, LD, RC, QM, QR, QN, TA, T1 thru T9.  None of these new modifiers change the value of a particular CPT procedure but will allow for the modifiers to be used and not get a duplicate payment / detail line message.

03/25/2010

  • Added support for the CPT Modifiers 52, 53, 54, 55, 56, RB, RR, NU.  These new modifiers will apply the proper multipliers to the maximum state value.  Use F4 in the modifier field to see a complete list of modifiers and their calculations.
  • Revised the missing CPT code message in the CPT medical payment program. Because of the expanded modifier support, the CPT code and it's modifier must be found in the CPT table to retrieve a value.  Double check the modifier and CPT code combination in the CPT table when checking for current values of procedures.
  • Revised the Ohio CPT tables.  The new tables include the procedure, modifier and the effective date for the value.  When checking in the system for the value for a procedure be sure to compare the date of service against the effective date for the procedure.

  • Medical and Expense bills may now be entered as denied transactions on closed claims without the need to open the claim.
  • New security level "Edit Claim Certification" added to user setup.  This new security level controls which users can change the Claim Certification on Workers' Compensation claims.  This security level has no effect for unemployment claims.
  • Security level 4 "Close Claims" now controls access to the close claim button in the claim area.  Previously it only controlled access to the "Close Open Claims" screen on the utility menu.
  • The inactive claim criteria for the Utility -> Claims -> Close Open Claims screen has been updated.  Now claims that have had only a reserve adjustment in the inactivity period are considered to be active claims and will not appear on the inactive report.  This change only affects this screen - the "Non-active Open Claim" report on the reports menu remains unchanged 
  • Added E-Mail report for the Excess Loss reports and the Transactions -> Reserves Report

  • Added  "E-Mail Company Contact" to the claim right click menu and the main screen right click menu to allow for quick e-mail generation to the risk main contact.  The e-mail address for each company can be setup in the company information screen.
  • Added "Cell Phone" to the claim information screen for the claimant cell phone number
  • Added "Disallowed Condition" for Workers' Comp Claims
  • Revised "Journal Entries" for Workers' Compensation Claims.
    • Journal entries will not have a check number in the check number column.  If a check number is given when entering the journal entry it will appear in the voucher number column.
    • Journal entries can now be voided like vouchers and will not appear in payment history if voided.
    • No reserve is required to create journal entry transactions
  • Added multiple interesting options to the Right Click menu for Workers' Compensation Claims.  To see the new options right click on the claim screen.
  • Changed the Main Compensate screen to separate Tasks, Indemnity Authorizations and Hearings.  The Indemnity authorization tab has been revised to show each authorization only once along with it's status instead of once if it is expiring and once if it still active.
  • Implemented the latest cost to charge ratio table for Ohio
  • Implemented the latest CPT tables for the states of South Dakota and Iowa.
  • Added AWW, FWW, claim_id, statute date, plan of action, disallowed condition columns to the "Claim Excel Export" on the Loss Run Menu
  • Added the claim_id column to the check register excel export.
  • Added the Lag Reports to the Master Program under "Admin Reports" menu
  • Added the Excess Loss Claims report to the Master Program under the "Reports" menu
  • Added a new "Claim type" filter for loss run reports. Claim type "OO" (Old Open criteria) will show only claims that had a reserve at the time of the "Value Claims as of" date.
  • "POA Report" has been added to the Reports --> Management reports menu.  This report shows all claims that have a plan of action for dates of injury in the date range of the report.
  • Titles on the "Check Pre-Audit" report and the "Work File" reports have been updated to make it obvious where the reports were generated from.

  • Repaired problem with PGP encryption and file transfer for CORVEL and Procura PPO claim and bill transfer.
  • Revised the attorney payment screen to allow for searching for an attorney when using F4

3/31/2009

  • New - Added an import for the Hearing information files that are distributed by the ICO.  These files contain all of the upcoming hearings. 
    • To import the hearing file and create new hearings in the system
      • Place the hearing file from the ICO in the imports\docket_files folder under compensate
      • Go to the Reports --> Docket --> Import Docket File
      • Select the docket files you wish to import and select "Load".
      • Hearings that could not be loaded due to missing claim numbers in the claims or hearings that could not be loaded because the hearing was already loaded are supplied in an excel exception report and must be resolved manually.  
  • Updated the list of employee time off types to be user defined.  The only types of time off that will calculate by business days are SMD and SLT
  • Changed the order of recoveries in "Recovery History" to be in descending date order
  • Revised the Recovery screen to not require a reserve to add a recovery to a claim.

  • Added new feature to eForms to allow for multiple copies of the same form for the claim.  Great for IME requests.

1/29/2009

  • Removed the Employee SSN from the C92/C92A Fax cover sheet for identity theft issues.
  • Revised Autopay to allow for resetting the payment period dates when no errors have occurred.  This allows users to update stop dates when needed and re-run the same payment period.
  • Removed the Compensate Status Bar at the bottom of the screen that contained the company name that is currently loaded for users that have small monitors and are running the software below the recommended resolution of 1024x768.  The company currently loaded remains at the top of the screen.
  • Moved the FROI and SROI report menus for reporting to various jurisdictions have been moved to the "State Reports" menu in the EDI area.
  • Added a new screen to allow eDocs users to add and edit eForms so any end user form can be added to the eForm list.

  • Positive pay programs have been changed to send voids in the file transfers to the bank.  The screen for generating positive pay files has been changed to match the v5.8 version of Compensate that allows the user to specify a starting and ending date and all checks and voids with a check number and check date in the period will be included in the file.

  • New - The Employee screen in HRMS has a new area to track employee time off. The new screen can be found under "Edit --> Time Off".
    • The type of time off for the employee is user defined.  Default values supplied are:
      • FLM - FLMA  (7 day periods)
      • LT - Lost Time  (7 day periods)
      • MD - Modified Duty (7 day periods)
      • SLT - Sick Pay Lost Time (5 day periods)
      • SMD - Sick Pay Modified Duty (5 day periods)
    • Time off tracked in this area is not tied to any claim that may be on file for the employee and is completely independent of any periods that may be being tracked in the "Quits and Returns" area in the Workers' Compensation claims area.
    • A new report was added to the Workers' Compensation Report menu under "Reports --> Dates --> Time Off Report" that will show all employees with periods of time off with the total number of days off as of the report date and summarized by the time off type codes.
